Las Vegas corporate meeting management
Corporate meeting management in Las Vegas means single point of control across every vendor a multi-day program touches: venue contracts, F&B minimums, transportation, AV, room blocks, ground logistics, post-event reconciliation. MyRSVP runs the entire workflow as one concierge thread, so your team owns the strategy and we own the execution. Transparent fee structure, often self-funding via venue-side concessions.
Why single point of control matters
A 200-attendee Vegas corporate program typically touches 12 to 25 distinct vendors. Run by your internal team or a generalist agency that means 12 to 25 invoices, 12 to 25 contracts, 12 to 25 cancellation policies, and 12 to 25 different people to chase when something pivots. We run all of it on one concierge thread with one consolidated post-event invoice.
The MyRSVP workflow
Intake: brief on dates, headcount, program type, budget tier, success criteria. We come back with venue-shortlist options across the appropriate format mix. Contract: we negotiate F&B minimums, service fees, gratuity caps, attrition clauses, force-majeure terms. Run-of-show: every venue gets a final guest count, dietary list, arrival/departure timing, AV setup notes. Post-event: every receipt collected, taxes broken out, one consolidated invoice.
Vegas-specific challenges we solve
Event-weekend premiums (F1, Super Bowl, NFR, EDC, CES carry 2x to 5x premiums and most generalist agencies don't flag pricing variance early enough). Last-minute pivots (most resolve within 2-4 hours through direct GM relationships). F&B minimum waste (we model the actuals against the menu so the minimum lands at the realistic number).
What stays in your team's hands
Program strategy, attendee selection, content design, internal communications, board reporting, RFP compliance, contracting authority. We consolidate the Vegas vendor layer so your team can spend cycles on the parts that genuinely require internal context.
What you can expect after submitting a brief
One business day to first response. Within 3-5 business days, a venue-shortlist proposal. Contract within 2-3 weeks of approval. Run-of-show locked 10 days pre-event. Post-event reconciliation within 5 business days of program end.
FAQ
What's the difference between MyRSVP and a generalist event agency?
We're Vegas-specific, so our relationships with property GMs and operator groups are direct rather than mediated by a sales rep. Our fee is transparent and often self-funding via venue-side concessions; generalist agencies typically bury fees in vendor markups.
Do you replace our internal event lead?
No. We work alongside your event lead, handling the Vegas vendor coordination layer so they can focus on program strategy, attendee experience, and post-event reporting.
How do you handle RFP processes?
We can respond to RFPs in standard procurement formats (Cvent, Northstar, BizBash, custom). Most engagements skip the formal RFP because the direct-introduction route from a previous client is faster, but we run the RFP process when procurement requires it.
What's a realistic timeline for a 100-person program?
8-12 weeks ahead comfortable, 6 weeks tight but workable, 4 weeks or less requires accepting fewer options. Event-weekend programs require 16-24 weeks.
Can you support hybrid programs with virtual attendees?
Yes. AV provider coordination for streaming, hybrid keynote setup, time-zone-appropriate session timing, and virtual-attendee gift logistics are standard parts of the workflow.
